Full Terms and Conditions for guests staying at Mead Barn Cottages
It is the responsibility of the individual who books the holiday to ensure that all persons occupying the property comply with our Terms and Conditions. Furthermore, it is the responsibility of all persons staying at the property to familiarise themselves upon arrival with the contents of the information folder provided which contains essential information about the property.
Please ensure you have read our Terms and Conditions in full, by making a payment of a deposit to reserve a cottage, you are accepting these terms and conditions.
Booking deposit and payment of final balance
To confirm a booking, Mead Barn Cottages require a non-refundable deposit of 25% of the full rental cost of your holiday. We will send you full details of the deposit and payment of balance terms by post or email. The balance of the full rental cost of your holiday must be paid at least six weeks before the holiday begins. Failure to pay the balance within 7 days of the due date will constitute cancellation of the booking and the deposit will be forfeited.
If arrival is less than 6 weeks from booking the full payment will be required in order to confirm the booking.
The owners should be notified by telephone or e-mail as soon as reasonably possible where you wish to cancel your booking.
If a reservation is cancelled within 6 weeks of the start date of the holiday, we will attempt to re-let the property. Where this is successful we will refund the amount we were able to re-let the property for minus the non-refundable 25% deposit and card fees charged by our merchant where the deposit and balance were paid by card. The final balance will be retained where we are unable to re-let the property. We strongly advise that you take out comprehensive travel insurance to cover possible cancellation costs and your stay at our holiday cottage. If you choose not to take out travel insurance then you accept responsibility for any loss that you may incur due to your cancellation.
You must not travel to Mead Barn Cottages if you or any member of the party are displaying any symptoms of COVID-19 as defined in current government guidance. Please contact us immediately if this is the case prior to you travelling to Mead Barn Cottages.
Should you or any member of your party show any of the symptoms of COVID-19 (as defined by current government guidance) during their stay at Mead Barn Cottages, the owners must be informed either by telephone or e-mail immediately. In this instance, the party must return home immediately to self-isolate. You are not permitted to self-isolate at Mead Barn Cottages. Should you not depart from the property and subsequently the self-isolation period runs for longer than your booked stay, you will be wholly responsible for the cost of a prolonged stay in the accommodation and any further costs incurred by the owners for the cancellation of any other holidays.
We strongly advise that you take out comprehensive travel insurance to cover possible cancellation costs and your stay at our holiday cottage. If you choose not to take out travel insurance then you accept responsibility for any loss that you may incur due to your cancellation.
Breakages, damage or loss
The owners must be notified of any breakage or damage to the property or the grounds or any loss of Mead Barn Cottages property as soon as possible which occurs during your stay. We do not normally charge for minor breakage, damage or loss; however, we reserve the right to reclaim costs for any replacement (including lost keys), repair or making good of any damage or breakage, whether accidental or not.
The owners of Mead Barn Cottages reserve the right to request a breakage/cleaning deposit from any party staying in any of the properties. Deposits will be required for any all adult parties (family only parties accepted) staying in Great Tythe Barn or Rye Barn, and for all New Year bookings. You will be notified when booking if a breakage/cleaning deposit will be required. The breakage/cleaning deposit is equivalent to £25.00 per person for the number of people the cottage sleeps (£100 for Red Cottage). The deposit is payable by bank transfer ahead of your arrival. The deposit will be returned, less any monies required for extra cleaning, breakages/damages/losses or return of left belongings, within 10 days of the end of your stay. In order for your deposit to be returned in full, we would request that you leave the property as you find it.
We retain the right to ask you to leave if you, or any of your group are causing a disturbance or upsetting other guests and in these circumstances the full rental cost of the holiday will be retained by the owners and there will be no refund for any lost days.
We are a family friendly establishment and bookings will not be accepted for stag or hen party groups, groups of individuals under 25 years of age OR all male/all female groups. Please advise if this is the case before making your reservation.
The owners reserve the right to refuse bookings should they appear unsuitable for the property, and reserve the right to refuse admission on arrival if the party has been misrepresented to the owners.
The number of people in the group (including young children/babies) must not exceed the bed spaces available in your cottage.
Unavailability of accommodation
If your cottage is not available due to extraordinary circumstances beyond our control, then we will offer alternative accommodation/dates (subject to availability and conditions) or return all monies paid to us by you (less any card fees charged by our merchant where the deposit and balance were paid by card) and this will be the extent of our liability.
Arrival and departure
Your property will normally be available for occupancy by 4pm on the day of your arrival. The owner will notify you if an earlier arrival time is possible. Please leave your cottage by 9:30am on your day of departure. There is no refund for late arrivals/early departures.
There is adequate room for parking on site, but we ask that you let us know in advance the number of vehicles you will be bringing. We do not accept any liability for vehicles or contents left on site. Vehicles should not be driven on grassed areas under any circumstances.
Children under the age of 16 years must not be left unsupervised either in the cottages or in the grounds, particularly in the games room and tennis court, without prior consent from the owners.
Mead Barn Cottages is a dog friendly-establishment and well-behaved family dogs are allowed in all properties. Dogs are subject to a charge of £15 per week for the first dog and £10 per week for any further dogs. If you have more than 2 dogs, please contact us to discuss the suitability of your chosen property. We do ask that dogs are not allowed on the sofa’s, although we understand this is difficult when they are used to it at home. If your dog does sleep on the sofa if we could ask you please to bring your own throws to protect them that would be appreciated. To ensure the cleanliness of the cottages for all of our guests we do however insist that dogs are not allowed to sleep on the beds. If your dog does share your bed with you, we ask that you please bring your all own bedding, including linens, duvets and pillows. They are welcome to sleep in the bedroom with you in their own beds if you wish. Dogs are not to be left alone in the property and must be kept under control at all times when in the grounds.
Unfortunately, we do not have a charging point for electric cars on site. If you do want to charge your electric car whilst you are here, please come and speak to us before doing so as a fee for this is charged.
Owners access to the property
The owner shall be allowed access to the property at any reasonable time during the holiday occupancy.
Guests staying at Mead Barn Cottages do so entirely at their own risk. We do not accept liability for any damage or loss unless caused by our own negligence.
We reserve the right to change details from those advertised and close any of the facilities. If anything is especially important to you, we ask that you please check with us before finalising your booking.
Smoking is strictly prohibited in all properties (including the Games Room and Laundry) at Mead Barn Cottages.
The information that you provide to us will be used to enable us to complete your booking, to manage any customer service queries you may have and to help is to provide details or information you may have requested.
In order to complete a payment for your booking we may share your information with credit/debit card companies.
We may disclose your personal data without your permission to the extent that we are required to do so by law or regulation.
We may also disclose your personal data without your permission in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend our legal right.
We have a system of retention periods in place to ensure that your information is only stored whilst it is required for the relevant purposes or to meet legal requirements. Where your information is no longer required, we will ensure it is disposed of or deleted in a secure manner.
You have a right to ask us to confirm whether we hold any of your personal data; to request a copy of any personal data we hold about you; and to request that we correct any inaccuracies where the personal data we hold is incorrect/incomplete. You can request that we delete (to the extent possible) any personal data we hold about you where we are required to do so by law. Where we process your personal data on the basis that you have given us your consent to do so then you may contact us at any time to withdraw your consent.
We regularly review and, where necessary, update our privacy information. If we plan to use personal data for a new purpose, we will update our privacy information and communicate the changes to individuals before commencing any new processing.
